What is TutorManager?

TutorManager is a cloud platform built specifically for tutoring centers, language schools, and private educators. It brings your entire operation together into one place — from managing student enrollments and scheduling recurring lessons to tracking homework, generating invoices, and sharing progress with parents.

Each school receives its own dedicated, isolated environment on a custom subdomain (such as myschool.tutor-manager.com), ensuring full privacy and GDPR compliance.

Who it is for

TutorManager is designed for education businesses of all sizes:

  • Tutoring centers & academies: Coordinate multiple branches, rooms, and subject specialists while keeping student records and billing organized.
  • Language schools: Organize individual sessions, group courses, curriculum tracking, and native-speaker schedules.
  • Private tutors & small collectives: Replace disconnected spreadsheets, paper notes, and messaging apps with a single professional workspace.

TutorManager organizes your school into cohesive modules accessible from the sidebar:

The five user roles

Everyone at your school logs in with their own account and sees an interface tailored to their responsibilities:

  • Administrator: Holds full control over company settings, user permissions, catalog pricing, billing, and system audit logs.
  • Receptionist: Manages daily operations — registering students, booking lessons, scheduling rooms, and issuing proformas.
  • Teacher: Focuses on teaching — checks daily schedules, marks attendance, assigns and grades homework, and evaluates student progress.
  • Student: Accesses a private portal to view upcoming lessons, join online classes, complete interactive homework, and review grades.
  • Parent: Acts as the family primary contact to monitor schedules, attendance, grades, and invoices for all children in one account.

To see exact permissions for each role, read Roles & permissions.

A typical week in TutorManager

TutorManager coordinates your school's weekly rhythm from start to finish:

  1. Set up & recurring schedules: Set up weekly schedules once for each student. TutorManager automatically skips public holidays and school breaks when generating lessons for the month.
  2. Daily schedule & preparation: Staff and teachers open the Calendar to see room allocations, lesson times, and student notes. Online lessons connect automatically via built-in Zoom links.
  3. Holding lessons & recording attendance: At the end of each session, teachers mark the lesson as Completed, record student attendance, add learning notes, grade performance, and record travel mileage if the lesson took place at the client's home.
  4. Homework & practice: Teachers assign interactive exercises or generate customized practice questions with the AI generator. Students solve them directly in the browser.
  5. Invoicing & billing: At the end of the billing period, receptionists or administrators generate invoices or proformas with one click. Prices and family discounts are applied automatically.
  6. Progress & reporting: Teachers and parents track grade trends over time, and administrators send comprehensive progress reports to keep families informed.
